Privacy Policy
Last updated: 9 September 2026
This Privacy Policy explains how Syntactor collects, uses, stores, and shares personal information when you use our website, application, account services, early access programme, and public agent features.
For privacy enquiries, contact hello@syntactor.com.
1. Information we collect
The information we collect depends on how you use Syntactor.
Account information
When you create an account, we may collect:
- Your email address
- Your display name
- Information required to authenticate and secure your account
- Your account settings and preferences
Content you provide
When you use Syntactor, you may provide:
- Text submitted for refinement
- Refined text
- Drafts and tasks
- Agents and writing preferences
- Feedback and edits
- Information submitted through support requests or other communications
Where saving or synchronization is available and enabled, relevant content may be stored with your account so that you can access it across supported devices.
Technical and usage information
We may collect limited technical and usage information, including:
- Device and browser information
- IP address
- Application interactions
- Performance and error information
- Authentication and security events
- General usage information
We do not send the contents of your drafts, refinement inputs, refined outputs, or private agents to analytics services.
Free preview limits
To limit signed-out rewrite previews, we store a keyed, pseudonymous network identifier derived from the connection IP address, together with preview status and expiry times. This preview record contains neither the raw IP address nor your writing. People sharing a network may share its free preview. Preview availability resets after 30 days; expired records are removed when subsequent preview requests are processed.
Public information
If you choose to publish an agent or other content through a public Syntactor feature, the information you publish may be visible to other users.
This may include the published content, its name and description, and the display name associated with your account.
Communications
If you contact us, join an early access list, or request support, we may collect your contact details and the contents of your communication.
2. Local browser storage and refinement processing
Syntactor may store drafts, agents, settings, and preferences locally in your browser.
Information stored only in your browser is controlled through that browser. Clearing browser data or losing access to the browser may permanently remove it.
When you submit text for refinement, the text must be processed through Syntactor and its service providers to produce the requested result.
For website rewrites, we also send submitted text, custom writing instructions, and generated results to Microsoft Azure AI Content Safety, or OpenAI when that safety provider is configured, for automated content safety checks. These checks are separate from the provider that produces the rewrite. They are not a guarantee of safety, factual accuracy, or preservation of meaning.
To prevent misuse, we keep pseudonymous account and network identifiers, attempt counts, and restriction timestamps in our database. These safety records contain no writing or raw IP addresses. Restrictions may escalate after repeated cancellations or blocked submissions; incident counts reset after 48 hours without a new incident. Inactive records become eligible for deletion after 48 hours and are removed during subsequent request processing.
Unless you choose to save or synchronize the content, submitted text and refined results are not stored as saved account content.
3. How we use information
We use personal information to:
- Provide and operate Syntactor
- Process refinement requests
- Create and administer accounts
- Save and synchronize content when requested
- Maintain account and service security

We do not sell personal information.
We do not use the contents of your drafts or refinement requests for advertising.
We do not use submitted content to train models of our own.
4. Legal bases for processing
Where European data protection law applies, we process personal information under one or more of the following legal bases:
Performance of a contract
We process information where necessary to provide the service you request, administer your account, process refinements, save content, and provide support.
Legitimate interests
We may process limited information where necessary to operate, secure, maintain, and improve Syntactor, provided those interests are not overridden by your rights and interests.
Consent
We rely on consent where required, including for certain analytics, optional communications, or other optional processing.
You may withdraw consent at any time. Withdrawal does not affect processing that took place before consent was withdrawn.
Legal obligations
We may process or retain information where required to comply with applicable law, regulation, legal process, or enforceable government request.
5. How we share information
We may share personal information with service providers that support the operation of Syntactor.
These providers may include:
- Cloud hosting and infrastructure providers
- Artificial intelligence processing providers
- Authentication and account service providers
- Email and communication providers
- Analytics and performance monitoring providers
- Payment processors, where paid services are available
- Customer support and security providers
These providers process information only for the relevant service function.
We may also disclose information:
- When required by law or valid legal process
- To protect the rights, safety, and security of Syntactor, our users, or others
- In connection with a merger, acquisition, financing, reorganisation, or sale of all or part of the business
- With your direction or consent
We do not share private user content with other Syntactor users unless you choose to publish or share it.
6. International data transfers
Some service providers may process information outside the country in which you live.
Where required by applicable law, we use recognised legal mechanisms and safeguards for international transfers, such as adequacy decisions or approved contractual protections.
You may contact us for further information about the safeguards relevant to your information.
7. Data retention
We retain personal information only for as long as reasonably necessary for the purposes described in this policy.
In general:
- Account information is retained while your account remains active
- Saved or synchronized content is retained until you delete it or close your account
- Information stored locally in your browser remains until you or the browser removes it
- Security, operational, and usage records are retained for limited periods appropriate to their purpose
- Support communications may be retained while necessary to resolve the request and maintain appropriate business records
- Public content remains available until it is withdrawn or removed
- Legal, payment, and transaction records may be retained where required by law
Content copied, exported, installed, or otherwise retained by another user may remain outside our control after the original public content is withdrawn.
We may retain limited information where necessary to resolve disputes, prevent fraud or misuse, enforce agreements, or comply with legal obligations.
8. Account deletion
You may delete your account through the available account controls or by contacting us.
Deleting your account removes or schedules for deletion the personal information and saved content associated with it, subject to:
- Legal retention requirements
- Security and fraud prevention needs
- Information already made public
- Copies independently retained by other users
- Limited backup retention
- Records required to establish or defend legal claims
Deleting your account does not automatically remove information stored locally in your browser. You must clear that information separately through Syntactor or your browser settings.
9. Cookies and analytics
Syntactor uses technologies necessary to operate the website and application.
Optional PostHog analytics are off until you accept them. If you accept, we measure page visits and selected actions, such as completing a rewrite or creating an account, using fixed labels, counts and durations.
We save your choice in your browser. You can decline or withdraw consent below. Withdrawal stops future analytics and removes the optional analytics identifier and funnel context stored by this version of Syntactor. It does not remove events already sent.
Analytics do not include your drafts, submitted text, refined results, private agent identifiers, private task titles, email address or account identifier. We use a random browser identifier to understand which consented visits and actions belong together. We do not enable automatic interaction capture or session recordings. Page addresses exclude query strings and fragments; referring addresses include only their origin. Verification and password-reset pages are excluded.
10. Security
We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration, or disclosure.
No internet service can guarantee absolute security. You are responsible for protecting your account credentials and maintaining the security of devices used to access Syntactor.
11. Your rights
Depending on where you live, you may have the right to:
- Access personal information held about you
- Correct inaccurate information
- Request deletion of information
- Restrict certain processing
- Object to certain processing
- Receive certain information in a portable format
- Withdraw consent where processing relies on consent
- Submit a complaint to an applicable data protection authority
You can exercise available account controls directly through Syntactor.
For other requests, contact hello@syntactor.com.
We may need to verify your identity before completing a request.
12. Changes to this policy
We may update this Privacy Policy to reflect changes to Syntactor, our data practices, or applicable law.
The date at the top of this page shows when the policy was last updated.
Where appropriate, we will provide additional notice of material changes.
